IBF Portal Account Access and Troubleshooting

Q1. How can I apply for an IBF Portal Account?

 

All applications for an IBF Portal account (For Individuals) can be done online via the IBF website portal page.

 


 

Q2. I tried creating a new IBF Portal Account with my NRIC, but the system says that it is "already in use".

 

You may retrieve the username tied to your NRIC number at the login page. Click on “Forgot Your Username?” and you will receive an email with your username.

 


 

Q3. I can't remember the username for my IBF Portal Account.

 

 You may retrieve your username on to the login page. Click on “Forgot Your Username?” and you will receive an email with your username.


 


 

Q4. I forgot the password to my IBF Portal Account.


You may reset your password on the login page. Click on “Forgot Your Password?” and you will receive an email to reset your password immediately.


 


 

Q5. I received an activation email for the IBF Portal Account, what should I do next?


Click on the link provided in the activation email.

Do note that the link has a validity period of five (5) working days.


 



Q6. I did not receive an activation email for my IBF Portal Account registration?


Check your spam folders for the activation email.


 


 

Q7. Whom can i contact if I am facing technical issues on the IBF Portal?

Q8. Can I access the IBF Portal on my mobile device?


No, the IBF Portal can only be accessed on your desktop browser.


 



Q9. Are we able to retrieve our previous certification on the IBF Portal?

MySkills Portfolio

Q10. What is MySkills Portfolio?

 

MySkills Portfolio is a free online resource that individuals can use to plan and manage their learning. It also provides programme recommendations and functions as a repository of skills and training records.

 


Q11. How do I set up a MySkills Portfolio account?

 

Simply set up an individual account in the IBF Portal to have access to your MySkills Portfolio module.

You may refer to the step-by-step guide on how to use the IBF MySkills Portfolio.

 


Q13. What are the key functions of MySkills Portfolio?

 

By creating an individual account in the IBF Portal, you will be able to:

  • Register for exams administered by IBF
  • Set your training goals
  • Track your training progress
  • Receive programme recommendations based on your training goals

 

IBF examination results, training records submitted by your financial institution or the training provider for funding claims and CPD reporting will also be automatically populated after you have created an account.

Claim submissions for individuals

Q14. I am encountering technical issue submitting my IBF-STS / FTS claims on IBF portal, how do I resolve the issue?

 

You may refer to Pages 12-21 of this document for solutions to common issues encountered during the claim submission process.

 


Q15. Editing my claim submission: I have submitted the wrong information or supporting documents?

 

If your claim is pending verification by your Management Representative, please inform your MR to reject the claim for your re-submission.

If your MR has verified and approve the claim for submission to IBF, please contact us to reject the claim for your re-submission.

 


Q16. Viewing the status of my claim submissions?

 

Log-in to IBF Portal and click on 'View claim status' under the Funding section. Select the drop-down list to view the different status of your claims.


For Financial Institutions and Training Providers


Account creation and administration

Q17. Creating a Corporate IBF Portal Account

 

To create a Corporate Account on the IBF Portal, please go to the IBF Home page and click on “Login”, followed by “IBF Portal Login” and create a “Corporate Account”. Proceed with “Application for IBF Portal Log-in Account”.

 

Please note that only 1 account may be created per organisation. The organisation would be identified by its UEN (“Unique Entity Number”) issued by the Accounting and Corporate Regulatory Authority (“ACRA”).

You will need the following documents for application:

  • Name and emails of two management representatives who will manage the account
  • For MAS Licenced Financial Institutions (FI) and exempt entities, be listed on MAS FI directory
  • For FinTech firms, obtained Singapore FinTech Association (SFA) Certification
  • Company UEN number
  • Bank's endorsed Direct Credit Authorisation form
  • ACRA Bizfile (for all non-MAS Licenced FI/entities)
  • The process will take from 1 week to 4 weeks depending on completeness of documents submitted.

Applicants are advised to apply as early as possible.

 


Q18. What is the difference between an IBF Portal Account and IBF Membership?

 

IBF membership is only meant for Financial Institutions and the benefits include discounts off fees paid for regulatory exams taken by the Financial Institution’s staff. A fee is charged for IBF membership based on the company’s headcount.

IBF Portal is for any company to submit documents to IBF e.g. training providers who need to submit training programmes for IBF’s review and accreditation; or for Financial Institutions to submit training grant claims for reimbursement. The IBF Portal account is free of charge.

You may reset your password on the login page. Click on “Forgot Your Password?” and you will receive an email to reset your password immediately.

Changing IBF Portal administrator user access rights

1) Management Representative (MR) to Log in to the IBF Portal Account

Adding user access on the IBF Portal Account

i. Log into your IBF Portal account. *Only Management Representatives (MRs) are authorised to add/edit/remove Administrator(s).

ii. Click on Manage Users.

v) To add role(s) to Administrator, click on name of administrator and add the roles

Replacing the MR for your company’s IBF Portal account

i) Login to the portal and select Corporate. If necessary, click on “Forgot your password” to request for new password.

Changes can only be made by the company's Management Representative (MR) by logging in to the corporate account.

iii) Click on “Replace”. Only an MR can replace another MR (Example on screenshot – Only Aileen can replace Lorraine and vice versa.) 22-3

Changing your company’s contact person on the IBF Portal account.

i) Login to the portal and select Corporate. If necessary, click on “Forgot your password” to request for new password.

Changes can only be made by the company's Management Representative (MR) by logging in to the corporate account.

Change of CEO / Management Representative

Please note that only Management Representatives (MR) are authorised to edit this.

 

Click on organisation profile and edit details under profile. Please submit the application form (endorsed with relevant signatories) and an official letter informing of the change in the CEO via email to [email protected]. Hardcopies of the documents are not required.

 


 

Change of MR

 

Please note that only Management Representative (MR) are authorised to edit this.

 

Edit MR: Click on organisation profile and click manage user, click add MR. Key in details of the MR.

 

Add/Replace MR: Click on organisation profile and click manage user, click add MR. Key in details of the MR and select the role (s).

Updating your company's Financial Information on the IBF Portal

Only Management Representatives (MRs) are authorised to make this update.

1) MRs to Log in to the IBF portal account.

2) Click on "Manage Organisation Profile".

vi) Please print out the application form and have the form duly signed by company and Bank to complete Part 111. Thereafter send a soft copy to [email protected] for our update. We do not require the hard copy.

Updating your company details in the IBF Portal Account

Updating company details

Change of CEO, change of company’s name, change of address

i) Management Representative (MR) to log in to portal account and select "Manage Organisation Profile".23-1

ii) Click on "Edit Details" and complete the necessary update. Click on "Submit".

iii) For Change of Company Name, select "Financial Information" and "Edit Details", update your details accordingly and click on "Submit".

Claim submissions for financial institutions and training providers

For Financial Institutions (FIs) / FinTech Firms

 

Part 1: Claim submission by Funding Administration

Step 1: FI / FinTech Funding Administrator login to IBF Portal using the company's corporate account.

Step 2: Click on 'Submit Funding (Course start date after 8 April 2020)' under the Funding section.

Step 3: Download the claim submission package containing the claim worksheet.

Step 4: Complete the details in the claim worksheet. Only one batch and programme per claim submission is allowed.

Step 5: Upon completion of the claim worksheet, proceed to step 1 to 3 of the claim submission.

Step 6: After submitting the claim, you will receive an auto-generated email notification informing you of the claim verification required by your Management Representative. 

Step 7: The Management Representative is required to login to the portal to verify and confirm the claim before submission to IBF. An auto-generated email notification will be send to the Management Representative with the One-Time password for submission during the claim verification by the Management Representative.


Part 2: Claim Verification and submission by Management Representative

Step 1: FI / FinTech Management Representative login to IBF Portal using the company's corporate account.

Step 2: Click on 'View ECS / TAG Claim Status' under the Funding section.

Step 3: Select the status drop down list to 'Pending Verification'.

Step 4: Click on the claim reference number which you wish to verify.

Step 5: Review the submission details and supporting documents to ensure the information is in order and accurate.

Step 6: Tick the checkbox to declare the Terms & Conditions.

Step 7: Key in the one-time password from the auto-generated email send to your email.

Step 8: Click on 'Agree & Submit' to proceed.

Step 9: An auto-generated email notification will be send to your organisation upon the successful submission of the claim.

 


For Training Providers

Part 1: Claim submission by Funding Administration

Step 2: Click on 'Submit Funding (Course start date after 8 April 2020)' under the Funding section.
